Privacy Policy

The short version

Cal2Bill connects your Outlook or Google Calendar to Zoho Books to generate invoices. We read only what we need to do that job. We do not analyse your billing data, profile your clients, or sell anything about your business to anyone — ever.

What we store

We store the minimum required to operate the service:

  • Your Microsoft or Google account email address and display name (for authentication)
  • Your Zoho Books OAuth tokens (to connect to your Zoho account on your behalf)
  • Your Google Calendar OAuth tokens, if you connect Google Calendar (to read your billing calendars on your behalf)
  • Your Cal2Bill settings: billing rates, calendar categories, tax configuration
  • Your subscription status (trial, active, or cancelled)

All data is stored in Cloudflare's KV storage, in data centres consistent with Cloudflare's regional data policies.

What we never store

  • Your calendar event contents or descriptions
  • Your invoice contents, amounts, or line items
  • Your client names or contact information
  • Any data from your Zoho Books account beyond what is needed to complete a requested action

We do not log individual requests or retain any record of which invoices you created or for whom.

What we measure

We maintain simple aggregate counters — things like how many invoices were created across all users this month, or how many trial accounts started. These numbers are never linked to individual users and contain no personal or business data. They exist solely to help us understand whether the service is healthy and growing.

Third-party services

Cal2Bill integrates with services you have chosen to connect:

  • Microsoft (Outlook / Graph API) — to read your calendar events, for Microsoft users. Governed by Microsoft's privacy policy.
  • Google Calendar API — to create billing calendars and read your calendar events, for Google users. Governed by Google's privacy policy.
  • Zoho Books — to create invoices in your account. Governed by Zoho's privacy policy.
  • Stripe — to process subscription payments. Stripe handles all payment data; Cal2Bill never sees your card details. Governed by Stripe's privacy policy.
  • Cloudflare — infrastructure provider. Cloudflare may log request metadata (IP addresses, timestamps) per their standard terms.

We do not use advertising networks, analytics platforms, or any other third-party data services.

Data retention

Your account data is retained for as long as your account is active. If you cancel your subscription, your settings and tokens remain in storage for up to 90 days before being purged, allowing you to reactivate without reconfiguring. You may request immediate deletion at any time by contacting us.

Your rights

You may request a copy of your stored data, correction of any inaccuracies, or deletion of your account at any time by emailing support@cal2bill.com. We will respond within 30 days.

Google user data

Cal2Bill offers an optional Google Calendar integration. If you choose to connect your Google account, Cal2Bill will request access to your Google Calendar data using OAuth 2.0. Cal2Bill's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data accessed

Cal2Bill requests the following Google API scope:

  • https://www.googleapis.com/auth/calendar — read and write access to your Google Calendar. This is used to read billing events from your designated billing calendars, move events between calendars at your direction (for example, from a billing calendar to Invoice Sent after invoicing), and create dedicated billing calendars during initial setup.

Data usage

Cal2Bill uses your Google Calendar data exclusively to:

  • Read calendar events from your designated billing calendars to identify billable time entries for clients you select
  • Move events between your Cal2Bill billing calendars (for example, from a billing calendar to Invoice Sent or Paid) after invoicing, at your explicit direction
  • Create dedicated billing calendars in your Google Calendar account during initial Cal2Bill setup

Your Google Calendar data is never used for advertising, profiling, training AI or ML models, or any purpose unrelated to providing the Cal2Bill invoicing service.

Data sharing

Cal2Bill does not sell, rent, or transfer your Google user data to any third party. The only sharing that occurs is at your explicit direction: when you build an invoice, billing event details (date, time, duration, and your work description) are transmitted to your connected Zoho Books account to create a draft invoice. No Google user data is shared with any advertising network, analytics platform, or data broker.

Data storage and protection

Cal2Bill stores only what is strictly necessary to operate the service:

  • Google OAuth tokens — stored in Cloudflare KV (encrypted at rest) to maintain your connection between sessions. These tokens are scoped to the calendar permission you granted and are used only to access your Google Calendar on your behalf.
  • Calendar IDs — the IDs of your Cal2Bill billing calendars, stored so Cal2Bill can identify which calendars to read from and write to.

Cal2Bill does not store calendar event contents, descriptions, client names, or invoice data in its own systems beyond the temporary session needed to generate a draft invoice. All invoice data is stored in your connected Zoho Books account, not in Cal2Bill's systems.

Data retention and deletion

Google OAuth tokens and calendar IDs are retained for as long as your Cal2Bill account is active. You may disconnect your Google account at any time from the Settings page inside Cal2Bill. On disconnect, your Google OAuth tokens and calendar IDs are immediately deleted from Cal2Bill's systems and Cal2Bill loses all access to your Google Calendar. If you delete your Cal2Bill account, all associated data including Google tokens is purged within 90 days. You may request immediate deletion by contacting support@cal2bill.com.

Changes to this policy

If we make material changes to this policy, we will notify active subscribers by email and update the effective date above. Continued use of Cal2Bill after changes take effect constitutes acceptance of the updated policy.
